Overview
Contacts are the foundation of your WhatsApp messaging on ChatFlow. This article explains how to add, manage, import, and organize your contacts effectively.
Navigating to Contacts
1. Log in to your ChatFlow dashboard
2. Click on Contacts in the left sidebar menu
Adding a Contact Manually
1. Click the Add Contact or New Contact button
2. Fill in the required details:
- Name: Full name of the contact
- Phone Number: Include the country code (e.g., +91 for India)
- Email (optional)
- Any custom fields configured for your account
3. Click Save to add the contact
Importing Contacts via Excel
For bulk contact uploads:
1. Go to Contacts and click Import or Import Contacts
2. Download the sample Excel template provided
3. Fill in your contact data (Name, Phone Number, etc.) in the template
4. Upload the completed Excel file
5. Click Import / Confirm to process
Important:
- Phone numbers must include the country code (e.g., +919876543210)
- Your subscription plan may limit the number of contacts you can import per upload
- Duplicate contacts (same phone number) will be skipped or merged automatically
Organizing Contacts
Custom Fields:
- Add extra data points to contacts (e.g., City, Order ID, Plan Type) using Contact Custom Fields
- Go to Settings > Contact Custom Fields to create new fields
- These fields can be used for personalized messaging in your campaigns
Filtering & Searching:
- Use the Search bar at the top of the Contacts page to find specific contacts
- Filter by status, tags, or custom field values to create targeted groups for campaigns
Editing a Contact
1. Find the contact in your Contacts list
2. Click the Edit (pencil) icon next to their name
3. Update the required fields
4. Click Save
Deleting a Contact
1. Select the contact(s) you wish to remove
2. Click Delete or the trash icon
3. Confirm the deletion
Note: Deleted contacts cannot be recovered. Export your contacts before performing bulk deletions.
Exporting Contacts
To back up or export your contact list:
1. Go to Contacts
2. Click Export (if available)
3. Download the file in Excel/CSV format
Contact Limits
The number of contacts you can add depends on your ChatFlow subscription plan. To check your limit:
- Go to Dashboard or My Plan / Subscription
- Review your Contacts usage
Upgrade your plan to increase your contact limit.
